Administrative, Clerical, Support
4 Year Degree
Manage FEDA's, including managing the circulation database for News & Views magazine and other publications.
Maintain database integrity by conducting routine audits of membership and other data.
Maintain current knowledge of data maintenance, event management, order processing, accounting processes, member updates, and report generation.
Work with the Meeting and Event Planner (MEP) to ensure registrant data is recorded for all conferences, webinars and meetings.
Assist the Accountant (ACC) with iMis event, membership renewal processing and other payments, as needed.
Actively track, code, and enter member activities into the database.
Pull membership reports and other queries for marketing purposes, reports, services, committees, etc.
Proactively make recommendations to the Director of Operations and Technology (DOT) on data management needs.
Financial Services Support
Manage record keeping for accounts payable and receivable, including for News & Views.
Create invoices for payables and post on Bill.com for approval and payment.
Prepare and send invoices to advertisers and other receivable payors.
Apply cash receipts to invoices and jobs.
Work with the ACC to reconcile credit card payments, PayPal, wire transfers, and other online payments.
Track, record and maintain expenditure records with details.
Enter/update all new customers/vendors in QuickBooks and Bill.com.
Assist audit teams.
Membership Services Support
Collaborate with staff to plan and manage membership renewal processing.
Assist and serve as backup, as needed, for managing communications.
Assist in processing member applications, event registrations, subscriptions, and products orders.
Work with the ACC to post payments, monitor batching, managing monthly closing and exports to QuickBooks.
Update member records on a regular and routine basis.
Work in conjunction with the MEP to manage conference registrations (pre, on-site, and post).
Assist with membership data pulls for board reports and committee updates.
Office Services and Human Resources Support
Work with the DOT to ensure that the office’s physical configuration, equipment and technology reflect current best practices to support the organization and staff’s operational needs.
With the DOT, keep track of company records and documents, including managing the organization’s online and hard copy records.
With the DOT, communicate with vendors, as needed.
Manage and perform administrative duties including filing, faxing and monitoring /ordering supplies.
Work with the DOT to manage and track employee benefits, earned time, and related human resources information; work with and manage, with discretion, confidential information.
Minimum 3+ years of successful work experience in business or association/nonprofit environment
Strong financial and database skills
Innovative thinking and interest and ability in using new technology tools
Exceptionally strong technology skills; proficiency in using Customer Management or Engagement Management Software (we use IMIS) preferred
Professional, responsive, service-oriented approach to working with everyone - very strong customer service skills required
Ability to manage time to meet deadlines
Ability to travel; maximum 10%
